Case Study - Mind Mosaic

The pandemic posed significant challenges for many businesses and organisations,, including those essential to supporting people struggling with mental health issues. In a time with so many restrictions, emotional wellbeing became more important than ever before.

One of the many organisations affected by the Covid crisis is Greenock-based counselling and therapy organisation, Mind Mosaic.   Mind Mosaic provides counselling and therapy to a range of individuals and groups in the Inverclyde area, including group and individual counselling, relationship and couple counselling to name only a few of their services.

When lockdown restrictions were in place, it was difficult for potential clients to access paper referral forms- as offices were closed- so Mind Mosaic asked the Scottish Tech Army for help to move the form online.

Admin and Finance lead Evelyn Sim, joined the team when COVID infection rates were high and there were strict measures in place to keep people safe.

She first contacted the Scottish Tech Army to request the implementation of a new CRM system for online appointments. However, this was not the only thing the STA helped with –. Mind Mosaic wanted to remove all the paper and have everything moved to a digital platform.

Evelyn said “Up until we started working with the Scottish Tech Army, every single referral that a client made to us came on paper, so that involved photocopying, filing etc. The project was about trying to reduce that paper.”

Evelyn spoke highly of the work that Meenal Poddar, the Scottish Tech Army volunteer did on the project,

“The Scottish Tech Army and Meenal were absolutely lovely. Meenal’s role was to help us implement Smart Forms - the first stage was to get a referral form put onto our web page and that allowed our clients to submit referrals online. The second stage is to get the information from Smart Forms into Dynamics. The support from Meenal in getting everything up and running has been great.”

Thanks to Meenal, Mind Mosaic, clients no longer have to wait to have the form posted to them and then return it. This not only saves time and money, but in addition it saves paper and reduces the carbon footprint by using less natural resources.

Another benefit of having everything online is that it helps Mind Mosaic deal with the increasing demand for mental health treatments due to COVID.

“There will always be clients who prefer paper, but the forms give Mind Mosaic and our clients another option and another way of referring. It’s saving time and resources. The online form means that we can refer them to therapy faster, and the sooner we can process the form, the sooner we can help them. It has been a very successful project and a very positive experience.”
